Property Manager Job Description
The Property Manager is accountable to the Broker for overseeing the daily operations and long-term performance of a portfolio of office and industrial properties. This role plays a critical part in financial planning, tenant relations, client service, and operational excellence, with a strong focus on tenant retention, portfolio growth, and sustainability initiatives.
Duties and Responsibilities:
Tenant Relations & Leasing
Act as the primary contact for tenant issues, including collections, lease terms, renewals, and improvements.
Prepare and negotiate lease documents and renewals, collaborating with prospective tenants, brokers, and existing tenants to maintain high occupancy rates.
Build and foster strong tenant relationships to enhance retention and long-term satisfaction.
Financial Management
Contribute to annual budgets, forecasts, and variance reporting to ensure alignment with strategic objectives.
Manage tenant chargebacks, including documentation, approvals, and coordination with the accounting department.
Oversee and approve third-party service contracts (HVAC, electrical, plumbing, cleaning, security, landscaping) in line with landlord standards and budgetary controls.
Property Operations
Conduct regular site inspections, track contractor performance, and ensure properties are well-maintained.
Maintain detailed administrative and operational records; provide regular reports to the Broker.
Coordinate sustainability initiatives and operational improvements.
Customer Service & Emergency Response
Build trust and maintain strong relationships with landlords, tenants, contractors, and internal teams.
Participate in on-call rotation to address after-hours emergencies.
Other
Perform additional property management duties and projects as assigned.
Qualifications:
Minimum 3–5 years of experience in commercial property management or equivalent.
Active Alberta Real Estate License in Property Management (mandatory).
Valid driver’s license and reliable vehicle.
Proficiency in MS Office (Excel, Word, Outlook) and Yardi or similar property management software.
Strong organizational and financial analysis skills, with proven ability to manage multiple deadlines.
Professional designations (CPM, RPA) or working toward completion are considered an asset.
Valid driver’s license and full-time access to a vehicle
Extensive knowledge of MS Excel, Word, Outlook, YARDI (or similar), and operation-specific software
Superior organizational, communication, and computer skills
CPM or RPA or working to attain is a benefit
