Overview
We are seeking a dedicated and experienced Commercial Property Manager to oversee the management of our commercial properties. The ideal candidate will possess strong organizational skills, a customer-focused mindset, and the ability to communicate effectively with tenants and stakeholders. This role is crucial in ensuring the properties are well-maintained, profitable, and meet the needs of both tenants and owners.
Duties and Responsibilities:
1. Tenant relations – Serve as the primary point of contact addressing complex tenant issues and inquiries, including year-end adjustments, collections, tenancy terms and conditions, and tenant improvements. Foster strong tenant relationships to enhance retention and maintain optimum occupancy rates
2. Leasing – Prepare lease documents, work with prospective tenants and outside brokers, and draft renewals for existing tenants.
3. Site Visits– Conduct regular property inspections to monitor progress on contractor goals, oversee administrative documentation, and provide updates/reports to the Broker.
4. Customer Service – Establish and maintain strong relationships with internal and external stakeholder groups to promote trust and effective communication, enabling superior management oversight and client service
5. Budgeting and Forecasting – Play an active role and provide critical input into annual budgeting and forecasting activities, as well as variance reporting, to ensure the approved budget enables the attainment of strategic goals and objectives set for the property
6. Service Contracts – Negotiate, prepare, approve, and control third-party service contracts for HVAC, Electrical, Plumbing, cleaning, security, and ground-keeping. Coordinate with other Property Managers and the Broker/CEO to ensure that properties are maintained per Landlord's specifications.
7. Tenant Charge Backs – Coordinate tenant services, responsible for generating required backup accounting documentation, and track chargebacks for tenant requests. Forward invoices and project documentation to accounting for invoicing.
8. On-Call – Dealing with after-hours emergencies as a part of the on-call rotation.
9. Other– Any other job-related duties and projects as assigned
Qualifications:
1. Minimum 3 to 5 years of work experience as a property manager or equivalent experience
2. Demonstrated ability to manage multiple tasks with concurrent deadlines and time requirements
3. MUST have a valid RECA License in Property Management
4. MUST Valid driver’s license and full-time access to a vehicle
5. Extensive knowledge of MS Excel, Word, Outlook, YARDI (or similar), and operation-specific software
6. Superior organizational, communication, and computer skills
7. CPM / RPA, or working to attain, is a benefit
8. RECA License in Condominium Management (nice to have)
