The opportunity:
Reporting to the VP - Property Management - Western Region, the Administrative Assistant will provide administrative support to ensure the efficient functioning of the Property Management team.
Primary responsibilities include:
- Greet visitors and tenants and direct them to meeting spaces accordingly.
- Prepare meeting rooms and turn on teleconferencing system for meetings.
- Answer incoming calls, assist with general inquiries, or forward accordingly.
- Receive, sort and distribute incoming mail and courier packages, coordinate outgoing packages/mail.
- Track and order office supplies, business cards and kitchen supplies.
- Fax, courier, and scan documents as required.
- Monitor and forward email requests as needed.
- Receive, scan, code, and enter invoices into the accounts payable system (Payscan).
- Investigate vendor queries in Payscan, follow up on outstanding invoices etc.
- Maintain payable file system.
- Work with Accounts Payable to keep vendor WCB and insurance information up to date.
- Assist the Operations team with creation of tenders and contracts.
- Export data into excel for mail merges.
- Assist with other administrative duties as required.
Your technical qualifications:
- High school diploma (required)
- Post-secondary education (an asset)
- Excellent communication and interpersonal skills.
- Experience with industry software (i.e. Yardi) an asset.
- Proficiency in Microsoft Word, Excel, and data entry.
- Must be able to multitask and pay great attention to detail.
