The opportunity:

Reporting to the VP - Property Management - Western Region, the Administrative Assistant will provide administrative support to ensure the efficient functioning of the Property Management team.

Primary responsibilities include:

  • Greet visitors and tenants and direct them to meeting spaces accordingly.
  • Prepare meeting rooms and turn on teleconferencing system for meetings.
  • Answer incoming calls, assist with general inquiries, or forward accordingly.
  • Receive, sort and distribute incoming mail and courier packages, coordinate outgoing packages/mail.
  • Track and order office supplies, business cards and kitchen supplies.
  • Fax, courier, and scan documents as required.
  • Monitor and forward email requests as needed.
  • Receive, scan, code, and enter invoices into the accounts payable system (Payscan).
  • Investigate vendor queries in Payscan, follow up on outstanding invoices etc.
  • Maintain payable file system.
  • Work with Accounts Payable to keep vendor WCB and insurance information up to date.
  • Assist the Operations team with creation of tenders and contracts.
  • Export data into excel for mail merges.
  • Assist with other administrative duties as required.

Your technical qualifications:

  • High school diploma (required)
  • Post-secondary education (an asset)
  • Excellent communication and interpersonal skills.
  • Experience with industry software (i.e. Yardi) an asset.
  • Proficiency in Microsoft Word, Excel, and data entry.
  • Must be able to multitask and pay great attention to detail.
