Service Administrator

Position Summary:

The Service Administrator is the initial point of contact between the customer and field personnel. Receiving service calls by email or phone, this position will troubleshoot to identify the cause of the customer’s concern and provide the needed support and dispatch the service calls to the technicians. Majority of the responsibilities of this position will be an administrative role including assisting with the invoice process by accurately preparing and obtaining the information to successfully invoice the customer. Meet customer needs by collaborating with customers regarding their invoicing requirements.


Responsibilities

  •  Distribute customer service calls to field service personnel ensuring that appropriate systems are accurately updated, and individuals informed when work orders are completed. 
  •  Provide Administrative assistance to field personnel. 
  •  Interface with customers and other departments as necessary to ensure successful completion of service. 
  •  Complete dispatch process for all PMs and monitor the PMs progress. 
  •  Ensure all documentation is completed by the technicians and reporting sent to the customers. 
  •  Analyze and reconcile all documentation for submitting to invoicing. 
  •  Prepare customer statements, invoices, work orders, and reports as per pre-determined schedules
  •  Update 3rd party portals with work statuses as required. 
  •  Provides support and backup for other administrative/inside sales duties as requested. 
  •  Perform other duties as assigned by Management. 

Experience:

  • 1-2 years administrative/accounting experience
  • Knowledge of JD Edwards is an asset 
  •  Excellent customer service skills. 
  •  Excellent verbal and written communication skills. 
  •  Proficiency in MS Office applications; Excel is essential. 
  •  Ability to exercise independent judgment and take initiative. 
  •  Ability to work effectively under pressure.
